Our rights and obligations and your rights and obligations

Nobody likes reading lots of small print, but it is important that everyone is aware of the terms and conditions that apply to participation in our study trips. This information is summarised on this page in English and the full version is available for you to download in German in pdf format. By taking part in a study trip you will be asked to confirm that you have read, understood and accepted these terms and conditions.

Please remember that you are representing your university - when travelling, in the hotel, on visits together with the whole group and in your free time.

General terms and conditions of participation (Teilnahme­bedingungen)

Summary of key points

  • Places are allocated in accordance with clear criteria to ensure fairness. You will be advised of the priority with which your application will be considered before you apply. 
  • Payment must be made in full by the due date to avoid the loss of your place.
  • Payment must be made by bank transfer to the FAU account shown in the payment information you will be sent or by credit card, Paypal or direct debit using the online service epayBayern.
  • The price of your trip does not include insurance, so you should take out travel medical insurance (to extend the cover provided by the European Health Insurance Card), travel contents insurance (to cover items you take with you) and cancellation insurance (as some or all amounts paid will be non-refundable in the event that you need to cancel after your booking has been confirmed).
  • If your study trip is subsidised, failure to participate in programme activities without a good reason may lead to your subsidy being withdrawn.
  • You are personally responsible for ensuring that you comply with immigration requirements for the United Kingdom and customs regulations when entering the UK and returning to Germany.
  • You are personally responsible for ensuring that you comply with any security requirements, dress codes or other requirements or restrictions in place at the locations you visit and which will be notified to you in advance of your trip.

Cancellation policy (Stornierungs­bedingungen)

  • Cancellation is possible at any time without penalty up until you have been sent a travel confirmation by email confirming your place on a study trip. Any amounts already paid will be refunded in full.
  • In the event that you cancel after receipt of the travel confirmation, the amount refundable will depend on the point in time that your cancellation is received and whether or not your place can be given to another student.
  • Notice of cancellation must be received in text form, for example by email, contact form, or via your online myStudyTrip account.
  • We strongly advise all participants to take out cancellation insurance covering the full cost of the trip.

  • In order for us to organise and carry out the study trips we need to collect, store and process applicants' and participants' personal data.
  • Data is only collected and stored to the extent that it is necessary to enable you to take part in the study trip and we will always let you know exactly what data we are collecting, why and for how long.
  • The data collected is used for the following purposes: processing applications, making bookings in your name, administering your myStudyTrip account.
  • All data is collected, stored and processed securely and in accordance with the GDPR and other applicable statutory data protection regulations.
  • Data is only passed on to third parties when this is required for legal reasons (for example immigration) and / or where a booking is personalised (for example flight, hotel), and only the data that is specifically required for this purpose will be shared with such third parties. We will always tell you what data is transferred to a third party, when and why.
